The Problem with Scheduling

Scheduling has become very important in today's world where people try to pack as much activity into any given day as possible. If you think about it, people seem to be busier than ever with work, activities, children and their activities, maintaining a home and much more. In recent years, I have heard more and more people talking about how their lives are so packed they feel they cannot add any more things to their lives.

Sometimes, I think back to 100 years ago when people lived much simpler lives without the big rush we live in today. Some people have tried to return to the simple life. Some can make it work and others have a difficult time leaving a fast-paced life for a more relaxed lifestyle. I like to be busy and have something going on all of the time. Sometimes, I find it is difficult to find the time to fit appointments into my busy schedule, as many other people do.

My wife's schedule makes mine look like child's play. I have seen her stand at the reception desk at the doctor's office and run through a number of different dates to find a time for a return checkup. When it comes to scheduling trips, vacations and the like, we need a minimum of six months to get the time set aside on the calendar.

For businesses, it can be difficult to get your schedules to match up with the schedules of your clients, business contacts and others, especially in the service industry. If you operate a salon with 15 beauticians and many customers, you have a somewhat complex scheduling situation. You have many customers with busy lives who need to match an open hour or two with a specific beautician, which can be tricky. Sometimes the customer may have to plan a visit to the salon a month in advance to fit it into the schedule.

The good news is the business is busy enough to have scheduling issues but if the issues are not taken care of properly, it could result in a loss of business. Some people will forgive a scheduling error once and maybe twice before going to another business for the same service. It is very important to make sure the business has a good scheduling system to keep customers.

Benefits of Online Appointment Software
Several companies have developed online appointment software for businesses to use as their primary method of scheduling appointments. Instead of keeping appointments on a beat up calendar, they can be kept appointments on a digital scheduling system that is readily available for viewing by employees and customers alike.

If someone calls in looking for an appointment, the person who answers the phone can access the proper date and time with a click of a button. If the time is open, the time can be reserved for the caller. If the time is busy, in just a few seconds, it is easy to find the next open spot for the caller to take that matches his or her schedule.

Even better, the person seeking the appointment can go to a website and look for open appointment times himself or herself. The customer does not see who has various times booked, only that the times are booked. Better yet, at any time day or night, the customer can set up a future appointment even though the business may be closed.
